Description

Summary
The Catering Event Coordinator is responsible for securing reservations and assisting with venue promotion via the phone and in person. Maximizing occupancy for company restaurants in the winter season, selling and coordinating summer events.
Essential Job Functions
  • Respond to reservation inquiries for company restaurants, group reservations and snowcat dinner rides book reservations, and facilitate inventory
  • Promote, market, and sell guest-direct reservations by phone, fax, email, online chat, and the Aspen Snowmass website with support and direction from Marketing and the Tickets & Guest Service department
  • Foster and maintain strong relations and direct communications with area hotel concierges to maximize reservations at company restaurants
  • Host site tours for sales prospects of company restaurants and other sites
  • Coordinate details and confer with vendors, supervisors, peers and staff before, during special and summer events
  • Ensure a successful hand-off to event operations staff
  • Produce, review and distribute Banquet Event Orders with all relevant staff and Accounting for billing purposes
  • Liaise with restaurant management and /or Director Catering and Events (DOCE) regarding specific guest requests or specialty dinner dates
  • Maintain reservation system, seating chart and calendar for company restaurants in order to maximize utilization and avoid overselling
  • Manage guest payments and cancellations
  • Conduct post-event evaluations to determine how future events could be improved
  • Other duties as assigned

Qualifications

High school diploma or equivalent required
College degree preferred
2 years previous administrative experience required
2 years previous catering and hospitality sales experience preferred
Strong typing skills and excellent telephone skills required
Strong Computer knowledge required, specifically Microsoft Word, PowerPoint and Excel required
